Alchemy is working with a luxury resort based in Utah which is looking to appoint an executive assistant/coordinator for creative services. 
Key Responsibilities:
  • Organise and oversee the executive's calendar, arranging travel, meetings, and appointments. 
  • Draft and revise presentations, communications, letters, and other paperwork. 
  • Serve as the executive's point of contact with internal and external stakeholders.
  • Plan and oversee meetings, including creating agendas, recording minutes, and seeing to it that action items are followed.
  • Provide relevant background, onboarding, and training for departments about the documentation. 
  • Design, implement, and maintain an information management system in relation to key documents across creative departments (e.g., Master Art, Art Plans, Documentation).
  • Manage and oversee multiple projects, making sure they are finished on schedule and on budget. 
  • Monitor project developments and provide the team with regular updates. 
  • Encourage cooperation and communication amongst project teams. 
  • Help with the writing of reports, presentations, and project proposals.
  • Plan, coordinate, and oversee internal events and logistics for consultants, architects, artists, and other professionals.
  • Create the ROS, schedule, work with the vendors as needed, create and distribute the schedule, and make sure the event upholds the resorts high standards.
  • Manage internal communications and make sure information is successfully shared throughout the organisation. 
  • Develop and maintain strong relationships with clients, partners, and stakeholders.
  • When required, represent the executive team in gatherings and meetings.

Qualifications: 
  • Experience within a coordinator or executive assistant role, ideally within the design, art and architecture industry.
  • Time-management and organisational skills.
  • Bachelor’s degree in Architecture, Business Administration, or a related field.
  • Excellent communication skills, both written and spoken
  • Knowledge of project management software and the Microsoft Office Suite
  • Capacity to prioritise and multitask in a fast paced environment 
  • High standards of discretion and professionalism
  • Strong interpersonal and teamwork abilities
