The perfect candidate for this role will be a self-motivated individual who has 2-5 years previous experience in a support role within a fast-paced work environment.
Responsibilities in this role include:
- Managing the calendars of the directors and business development managers. Including booking in client meetings.
- Managing the office and ensuring the smooth running of office operations, including coordinating office supplies, facilities and equipment.
- Assisting HR globally including supporting with onboarding new hires and HR administration when required.
- Working closely with the other executive assistants and senior executives in other global offices.
- Coordinating client call and meeting and acting as a first point of contact for visitors and incoming enquiries.
- Booking travel arrangements for senior executives.
- Maintaining accurate records and documents, in coordination with other global offices.
- Assisting sales and marketing team, supporting with coordinating marketing events booking venues and managing the attendee lists.
- Handling ad-hoc administrative tasks when required.
- 2- 5 years within an executive assistance or similar supportive role, ideally within law, consulting, banking, or investment management setting.
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Advanced proficiency in Microsoft 365 and use of Salesforce;
- Strong capability with handling documents and data
- Experienced with creating reports, client presentations, and managing expense reports.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills;
- Confident communicator with ability to work with senior stakeholders.
