The successful candidate will bring exceptional organisational skills, a strong command of exhibition logistics, and proven experience managing timelines, shipping, installations, and budgets within a fast-paced arts environment.
This is a 10-month maternity cover contract.
Key Responsibilities:
- Develop and manage detailed project plans for each exhibition, including timelines, milestones, and deliverables.
- Coordinate closely with curators, artists, lenders, and internal stakeholders to ensure all exhibition requirements are met.
- Oversee all logistical elements, including transportation, installation, and deinstallation of artworks.
- Manage shipping and handling processes, ensuring artworks are transported safely, securely, and efficiently.
- Liaise with shipping agents, customs officials, insurers, and regulatory bodies for both domestic and international movements.
- Ensure installations meet the highest professional and conservation standards, working with contractors and internal teams.
- Prepare, manage, and monitor exhibition budgets, tracking costs and ensuring financial control throughout each project.
- Negotiate contracts and terms with suppliers and service providers.
- Oversee the production of all exhibition-related materials, including catalogues, installation photography, merchandise, and promotional assets.
- Lead and support exhibition staff, providing clear guidance and oversight.
- Identify potential risks and implement mitigation strategies.
- Maintain accurate records and ensure compliance with organisational policies and external regulations.
Qualifications & Experience:
- Proven experience overseeing exhibitions within a gallery, museum, or comparable arts organisation.
- Strong expertise in logistics, scheduling, and financial management.
- Excellent project management skills with the ability to manage multiple exhibitions simultaneously.
- Outstanding communication and negotiation abilities.
- Demonstrated ability to work discreetly and handle confidential information.
- Proficiency in Microsoft Office and relevant project management tools.
