The Sales Coordinator will oversee a variety of national and international projects linked to gallery exhibitions, art fair participation, private collections, and day-to-day gallery operations. Acting as the key point of contact between clients, operational teams, and external partners, you will ensure seamless execution from quotation through to final delivery. The position requires strong organisation, accuracy, and client service, with occasional on-site presence at galleries, art fairs, and project locations.
Key Responsibilities
- Coordinate all aspects of fine art logistics for galleries, including packing, transport, shipping, documentation, and customs requirements.
- Manage multiple gallery client projects simultaneously, monitoring timelines, budgets, and profitability.
- Prepare quotations and ensure accurate, timely invoicing upon project completion.
- Work closely with internal operations teams, subcontractors, and external agents to plan and deliver services.
- Provide proactive communication and client updates, ensuring needs are met and issues are resolved promptly.
- Support gallery exhibitions, art fair installations, and private view preparations where required.
- Contribute to the refinement of operational processes and the continued development of the Gallery Services division.
- Uphold company CSR commitments, compliance standards, and service quality expectations.
Requirements
- Proven experience in gallery services, fine art logistics, or coordination within the art market.
- Strong understanding of fine art transport documentation, customs processes, and handling protocols.
- Excellent communication, organisational and problem-solving skills.
- High attention to detail and ability to manage multiple deadlines.
- Fluency in English and French.
- Confident using IT systems and project management tools.
