An exciting opportunity has arisen for an experienced Shipping Administrator to join a high-value art logistics team based in London. This role is essential in overseeing the coordination and successful execution of international artwork shipments, ensuring all customs and compliance protocols are met. Ideal for professionals with logistics experience in the art, luxury goods, or high-value asset sectors, this position offers a fast-paced and collaborative environment.

What You’ll Be Doing:
  • Manage full logistics process for international shipments, including crating, documentation, and delivery coordination.
  • Liaise with fine art shipping providers to confirm schedules and arrange installations.
  • Analyse logistics quotes and timelines to recommend the best options.
  • Prepare and review customs documentation and ensure compliance with international shipping regulations.
  • Track and manage temporary import/export (TR) deadlines and returns.
  • Communicate proactively with clients on delivery updates, customs requirements, and project timelines.
  • Work with sales, post-sale, and client services teams to finalise shipping and delivery plans.
  • Respond to internal queries and coordinate artwork collections and returns with warehouse teams.
  • Monitor multiple ongoing shipping projects and ensure all deadlines are met.
  • Lead or contribute to regular logistics meetings to resolve shipment challenges.
  • Maintain accurate records and documentation for audits and internal processes.
  • Support warehouse and studio teams with operational logistics needs.

What We’re Looking For:
  • Previous experience in logistics within the moving, shipping, or fine art industry.
  • Excellent understanding of international customs and shipping procedures.
  • Strong communication and coordination skills across internal teams and external providers.
  • High level of organisation and attention to detail in managing multiple shipments.
  • Proficient in Microsoft Office, logistics software, SharePoint, and Teams.
  • Ability to work under pressure and adapt quickly to changing priorities.
