Are you detail-oriented and ready to support billing operations in the moving & relocation industry? Our client is seeking a Billing Assistant in Indianapolis to help keep invoicing, receivables, and financial records accurate for local and long-distance moves. Hybrid working options are available for suitable candidates.
What You’ll Be Doing
- Prepare and issue invoices to customers after moves (residential, commercial, industrial)
- Verify billing data (weights, accessorial charges, tariffs, packing services) against move orders or contracts
- Match invoices with work orders, proof of delivery, and service logs
- Post payments and reconcile accounts receivable
- Monitor ageing receivables and follow up on past due accounts
- Resolve billing discrepancies with operations, dispatch, and customer service teams
- Generate and send statements, billing summaries, and reports
- Maintain billing records and documentation for auditing
- Assist in the preparation of monthly revenue schedules
- Coordinate with finance/accounting for the month-end close
- Respond to customer inquiries about invoices, charges, and billing status
- Support internal teams (sales, operations) with billing data analysis
What We’re Looking For
- 1–3 years of billing, accounting, or AR experience (preferably in relocation, transportation, logistics, or similar)
- Strong attention to detail and numerical accuracy
- Familiarity with billing systems/software (e.g. QuickBooks, Sage, CargoWise, or industry ERP)
- Good communication skills (verbal & written)
- Ability to analyze discrepancies and problem-solve
- Experience with or understanding of moving/relocation billing, tariffs, tariff codes, accessorials, etc, would be beneficial but not essential.
