Our client is looking for a Consular Liaison Consultant to join their Canberra operations team. This role is ideal for someone who enjoys a busy, hands-on working environment and takes pride in delivering excellent customer service. You’ll play an important part in supporting visa processing activities, coordinating deliveries and embassy submissions, and ensuring applications are handled accurately and on time.

Key Responsibilities
  • Complete daily embassy and consulate runs for submission and collection of passports and visa documents.
  • Review customer applications and supporting documents to ensure everything is complete and ready for processing.
  • Follow up with customers where information or documents are missing.
  • Keep customers updated on the status of their applications where needed.
  • Ensure all application details and updates are accurately recorded in internal systems.
  • Arrange couriers, deliveries, and collections to meet required turnaround times.
  • Manage rejected applications by contacting customers and arranging resubmission.
  • Prepare and organise application packs for submission, including multiple visa requests when required.
  • Assist with filing, archiving, and returning original documents to customers.
  • Support despatch activities including passport matching and updating tracking sheets.
  • Carry out daily reconciliation and end-of-day operational tasks.
  • Assist with banking runs, cheque preparation, and payments to diplomatic missions.
  • Answer basic billing or customer-related queries when required.
  • Stay up to date with changes to embassy and visa requirements.
  • Work closely with customer service and operations teams to ensure a smooth client experience.
  • Support additional tasks and operational duties as needed.
Requirements
  • Previous administration, operations, travel, logistics, or visa processing experience would be beneficial.
  • Strong organisational skills and high attention to detail.
  • Confident communicator with a professional and customer-focused approach.
  • Ability to manage multiple tasks in a fast-paced environment.
  • A reliable team player who is also comfortable working independently.
  • Strong problem-solving skills and willingness to learn.
  • Current driver’s licence and access to a personal vehicle is required.
  • Good written and verbal communication skills.
  • Positive attitude with a flexible and hands-on approach to work.
