Working closely with operations, warehouse teams, and clients, the Registrar will ensure all inventory, condition reporting, and compliance processes are maintained to the highest standards. This is an excellent opportunity for someone with a strong administrative and inventory background within fine art logistics, galleries, or museums.
Key Responsibilities:
- Maintain accurate inventory records for artworks across storage facilities and transit
- Coordinate inbound and outbound shipments, ensuring all documentation is complete and accurate
- Prepare and manage condition reports, loan agreements, and shipping documentation
- Track artwork movements and update internal systems in real time
- Liaise with clients, galleries, museums, and internal teams to ensure smooth logistics execution
- Support packing, crating, and installation planning from a documentation and compliance perspective
- Ensure compliance with international shipping regulations, customs documentation, and insurance requirements
- Manage digital and physical records, including cataloguing and database management
- Assist with audits, stock checks, and inventory reconciliations
- Handle sensitive, high-value artworks with strict attention to detail and security protocols
- Support project teams on exhibitions, relocations, and complex logistics moves
Key Requirements:
- 3–5+ years’ experience as a Registrar, or within fine art logistics, galleries, or museums
- Strong knowledge of artwork handling, inventory systems, and registrarial processes
- Experience with shipping documentation, including import/export and customs procedures
- High level of organisation and attention to detail
- Excellent communication skills and ability to work with clients and internal stakeholders
- Proficiency in database/collection management systems and Microsoft Office
- Ability to manage multiple projects in a fast-paced environment
- Understanding of packing, crating, and transportation standards for fine art
