Job Description

A New York gallery are looking for a full time Gallery Registrar to join their expanding team.

This individual will oversee and ensure the secure, expert transport and installation of sold artwork around the world and, if needed, assisting the customer service team with ad hoc administrative projects to advance and enhance the Gallery's post-sale procedure.

Responsibilities:

  • Organize and ensure the safe, timed deliveries and installation of artwork worldwide for the New York sales team.
  • Provide a professional and successful post-sale service to global clientele by communicating with people such as global technicians, management, sales team, external vendors.
  • Comply and operate in accordance with global taxation and customs requirements and regulations.
  • Ensure all shipping documents, bills of lading and customs paperwork are maintained and archived.
  • Assist in ensuring accurate VAT applies, especially for artwork subject to UK or European Customs.
  • Develop strategies and processes in close collaboration with department members to enhance the professionalism of the client services division.
  • Assist the London-based Art Fair staff in supporting the logistics for the US-based Art Fair.
  • Accurately managing of the gallery's inventory, including entering, tracking, and preserving records of the artwork in the database. Maintain consistent, accurate, and up-to-date records at all times to support Inventory requests.
  • Assist the gallery art fair staff in their international collaborations.
  • Prompt processing of supplier invoices through the gallery's billing system.
  • Finish all necessary registration and general departmental project work.
  • Assist the Head of Global Registration with administrative tasks and ad hoc projects.

Requirements:

  • A degree in the Fine Arts or related fields is desired but not essential.
  • Proven experience working in an Arts Logistics or Registrar position.
  • Demonstrate knowledge of all Customs procedures for US/UK Customs, Global Temporary Admissions or Bonded Warehousing.
  • Operate well under pressure whilst organizing, prioritizing, multi-tasking and meeting all deadlines.
  • Ability to manage a busy and high-volume workload alongside showing attention to detail and accuracy.
  • Have excellent communication skills alongside working in a group environment.
  • Ability to show strong IT skills when using the in house gallery system / inventory systems.
